For Property Managers, HOA Boards and Community Associations
Public Adjuster Services for Multi-Family Properties
From policy review and building-by-building inspections to board communication and carrier negotiation, Mallard Claims LLC helps keep complex property claims organized, documented and moving forward.
A Resource for Property Managers and Boards
Complex Properties Require Detailed Claim Management
A multi-family loss can involve dozens of elevations, roofing systems, shared structures, maintenance records, contractors, board members and residents. A missed building component or poorly organized scope can affect the entire claim.
Mallard Claims brings extensive field experience to the process, helping stakeholders understand what happened, what the policy may respond to and what documentation is needed. We represent the policyholder—not the carrier—and manage claim communication so property managers and board members can focus on the property and the people who depend on it.

Our Multi-Family Claim Process
Working on Behalf of the Policyholder
Start with a no-charge evaluation. If representation makes sense, Mallard Claims develops and manages the claim through the carrier negotiation process.
No-Charge Evaluation
- Review the insurance policy and endorsements
- Inspect the property and document visible conditions
- Review carrier estimates, denials and correspondence
- Evaluate relevant weather information
- Determine whether filing or further pursuit appears warranted
- Meet with the property manager and board to explain findings
Claim Preparation and Representation
- Scope affected buildings, elevations and shared structures
- Prepare a detailed estimate of the claimed damage
- Coordinate and attend carrier inspections
- Communicate status and decisions to management and the board
- Negotiate the supported amount of loss with the carrier
- Assist with payment, depreciation and contractor coordination
Communication Matters
Keep the Property Manager and Board Informed
Board members need information they can understand, evaluate and explain. Mallard Claims organizes findings, identifies material differences between contractor and carrier scopes, outlines the next decision and keeps stakeholders informed as the claim develops.
Every claim is different. We do not promise a particular result; we provide experienced analysis, detailed documentation and focused representation for the policyholder.
No Upfront Fee for Public-Adjusting Representation
Mallard Claims is paid only after the association receives claim recovery, according to the percentage and terms stated in the written public-adjusting agreement. Appraisal services, when applicable, use a separate fixed-fee schedule.
